Custom CRM Development

We build CRMs around the way your business actually sells: your stages, your fields, your handoffs. When an off-the-shelf platform fits better, we set up HubSpot, Zoho, Salesforce, GoHighLevel or Pipedrive properly instead.

What custom CRM development means

Custom CRM development is building a customer relationship system from your own records, pipeline stages and rules, instead of bending your process to fit a generic tool. A restoration company tracking insurance claims needs different fields from a law firm tracking matters or an agency tracking retainers.

We start by mapping how a lead becomes a customer in your business today: where it comes from, who touches it, what gets sent, and where it gets stuck. Then we decide with you whether a custom build or a configured platform is the better answer. Sometimes the honest answer is a well-set-up HubSpot account, and we’ll say so.

Intelligent Solutions Tech has built and configured CRMs for businesses in the United States, Canada, the United Kingdom, Europe and Australia since 2018.

What we build and set up

CRMs built for your market segment

Custom systems with the objects your industry uses: claims, matters, properties, jobs, policies, students or subscriptions, with pipelines and permissions to match.

HubSpot setup

Pipelines, properties, lifecycle stages, workflows, forms and reporting dashboards configured so sales and marketing see the same numbers.

Zoho CRM setup

Modules, blueprints, Deluge scripts and connections to Zoho Books, Desk and Forms for businesses already using the Zoho suite.

Salesforce configuration

Objects, page layouts, validation rules, Flows and reports for teams that need Salesforce’s depth without paying for features nobody uses.

GoHighLevel and Pipedrive

Sub-accounts, snapshots, SMS and email follow-ups for agencies and service businesses, or lean Pipedrive pipelines for small sales teams.

CRM migration

Moving contacts, deals, notes, files and history from spreadsheets or an old CRM, with field mapping signed off before anything is imported.

CRM automation

Lead routing, task creation, follow-up sequences, deal stage triggers and AI-written summaries of calls and emails.

Client portals

Secure logins where your customers upload documents, check job status, sign forms and pay invoices, all tied back to their CRM record.

How a CRM project runs

  1. Process mapping We document your current sales and service process, the data you collect and the tools you already pay for.
  2. Recommendation and proposal You get a written recommendation (custom build or platform), with a fixed scope and price for the setup and ongoing support.
  3. Staged build We build pipelines first, then automations, then connections to your other tools and portals. You review each stage in a test environment before it goes live.
  4. Data migration Your existing data is cleaned, mapped and imported, with a sample checked by your team before the full import.
  5. Training and support Your team gets short recorded walkthroughs, and we monitor the system with a report every two weeks on usage, errors and suggested changes.

Connecting your CRM to everything else

A CRM is only as useful as the data flowing into it. We connect it to your website forms, booking tools, accounting software, phone system logs, e-commerce store and email platform through our integrations and API development team.

We also add AI where it saves time without creating risk: summarizing email threads onto the contact record, drafting follow-ups for a rep to approve, or scoring inbound leads through lead qualification automation.

If your CRM is full of duplicates and half-filled records, our non-voice BPO team can run a cleanup before migration so you don’t carry old mess into a new system.

CRMs shaped around specific industries

Law firms

Intake forms that create a matter record, conflict checks, document requests and status updates sent to clients through a portal. More on our law firm work.

Accounting firms

Client onboarding checklists, document collection by tax year, signed agreement tracking and reminders before filing deadlines. See accounting firms.

Restoration and home services

Job records with insurance claim numbers, adjuster contacts, photos, moisture readings and invoice status in one place. See restoration companies.

Agencies

Retainer pipelines, client onboarding, deliverable tracking and renewal reminders linked to each client account.

Questions we get about custom CRM development

Should we build a custom CRM or use HubSpot or Salesforce?

If your process looks like a standard sales pipeline, a configured platform is usually faster and cheaper to run. A custom build makes sense when your records, approvals or customer portal don’t fit the platform’s model, or when per-seat fees become a problem. We’ll give you a written recommendation either way.

Who owns the CRM and the data?

You do. Custom builds are hosted on accounts in your name, and you get the source code and admin access. On platforms, the subscription is in your name and we work as an added user.

Can you move our data from spreadsheets or an old CRM?

Yes. We map every field, clean duplicates and import a test batch for your review before running the full migration. Notes, files and activity history come across wherever the source system allows export.

How much does custom CRM development cost?

It’s priced after a free review of your process. The proposal sets a fixed scope and price for the build and a fixed monthly amount for support, so there are no open-ended hourly bills.

Are you an official partner of these CRM vendors?

No. We’re independent, which means our recommendation is based purely on what fits your business.
