What the automation ROI calculator measures
Most businesses underestimate the cost of small manual jobs: copying form entries into a CRM, renaming files, chasing invoices, building the same weekly report. Each one takes minutes, but those minutes repeat every day for every person who does them.
The calculator adds up that time, prices it at your team’s hourly cost, factors in the cost of fixing mistakes, and compares it with the work needed to automate. It’s the same math we use when we scope AI workflow automation projects.
What drives the result
Hours per week on the task
Count everyone who touches it. A task that takes one person a little each day often adds up to more than a full day each week.
Hourly cost
Use the loaded cost of the people doing the work, including wages, benefits and overhead.
Error rate
Manual data entry produces typos, missed steps and duplicates. Each one costs time to find and fix, and sometimes a customer.
Number of workflows
Automating several related workflows at once shares setup work, so the return per workflow usually improves.
From estimate to a real plan
The result is a ballpark. Real returns depend on how clean your data is, which apps you use and whether those apps have usable APIs. We check all of that in a free audit, then send a written proposal with fixed monthly scope and price.
Good first candidates are invoice automation, reporting automation and lead routing, because they repeat often and follow clear rules.
Questions about automation ROI
How accurate is the calculator?
It’s as accurate as the hours and costs you enter. Time your team on the task for a week before running it, and the estimate gets much closer to reality.
Does automation replace staff?
Usually it moves people off copy-and-paste work and onto work that needs judgment, like customer conversations and exceptions the automation flags.
What does the estimate leave out?
Software subscription costs for tools like n8n, Make or Zapier, and any one-off cleanup of messy data. Both are listed separately in your proposal.
